Email, domains and phone setup.
Receive email on your own domain, route it straight to the right department, and make calls through your own phone provider in each market. Recordings and compliance stay with that provider; you see and manage everything inside NearSync.
An inbox belongs to a department rather than to a person, so nothing breaks when the person who used to watch it leaves.
The email screen
Inboxes on a domain you own.
Verify a domain you already own, then receive mail on it and send replies from it. Every inbox shows which department it goes to and who is responsible for it. If an inbox has no owner yet, the screen tells you, so mail does not go unanswered without anyone noticing.
Provision shared inboxes that route directly to an HQ. Mail tosupport@in.meridiangroup.ae lands in Support HQ's inbox; same pattern for any HQ.
Domains you own that can receive mail and serve as the FROM on outbound replies. The default platform host stays available as a fallback.
Call recordings stay with your local phone provider.
Send and receive on your own domain.
While you set it up, the built-in NearSync address keeps working as a fallback.
- Verify a domain you already own
- Receive mail on it and send replies from it
- Create an inbox and route it to a department
- Give each inbox an owner, and see straight away when one has none
- Forward mail from your current email provider while you switch over
Use your own phone provider in every market.
Recordings, transcripts and compliance stay with the local provider.
- Connect more than one phone provider, and choose the default for outgoing calls
- Test or reconnect a provider without disconnecting it
- Add your numbers and assign each one to a department
- Record calls and get an AI transcript and summary
- Play callers a notice when recording or transcription is on

Who can do what.
Most people only need the inbox they were given. Verifying a domain, connecting a phone provider and turning call recording on are kept to a much smaller group, because each of those changes what your whole organisation sends and keeps.
See the inboxes, domains and numbers in use.
Answer mail in the inbox you have been given.
Create inboxes and assign numbers to departments.
Add a domain, connect a phone provider, turn recording on or off.
Admin is the highest role and is not limited by these permissions, so give it only to the few people who genuinely need it.
One message, start to finish
A message arrived on your domain, and was answered from it.
A customer emailed your support address. Because the address belongs to a department, it reached the right team with no forwarding rule. The team picked it up, and the call back went out through the phone provider you already use in that market. The customer saw your domain at every step, and never saw ours.
Received on your own domain, not on a platform address.
