Clocking in

Every clock-in is checked against the office location.

Staff clock in from the web or the mobile app. A day worked somewhere else becomes a remote day, requested and approved in advance.

  • Set a location and a radius for each office
  • Let staff request a remote day in advance when they will be away
  • Approved days away are recorded as remote working, nothing to explain later
  • Anyone clocking in outside the radius is prompted to request remote mode

Lateness

Each office sets its own start time, and lateness is measured against it.

Give an office a start time, its working days and a grace period in minutes. Clock in past the grace period and you are asked for a reason before the day is saved, with the minutes late kept beside it. Asking for that reason is a switch, and it starts off.

Take a break without ending your day.

Starting a break pauses the working clock instead of closing the day, and the time comes off the hours worked. Clock in from the web, your phone or WhatsApp and it is still one day per person. If somebody forgets to clock out, the day stops at sixteen hours rather than reporting an impossible one.

Each office has a cut-off day, and a window before it in which people can still settle their own days. Send everyone the reminder in one go, they fix their own records, and payroll runs on a month that is already agreed.

Access

Who can do what.

Attendance permissions are set on the role, using the same four levels as every other module. Approving leave and creating leave types are separate rights, as are clocking yourself in and correcting somebody else's record.

Admin is the highest role and is not constrained by the permission grid, so it is worth keeping to the smallest group that genuinely needs it.

One request, start to finish

Three days off, and payroll already knew.

The leave balance is checked when the request is made, so a request over the allowance is refused straight away. Once approved, the days appear in the attendance ledger and in the payroll run without anybody entering them again.
