One employee record, used everywhere.
Add one person through a seven-tab wizard, or a whole team from a CSV. Payroll, leave, approvals and reviews all work from that same record, so nothing has to be entered twice.
The wizard finishes and the record is payable, schedulable and reviewable. No second form, no handover email, no spreadsheet with the same name on it.
The roster
Everyone, with role and manager.
Change a role or a reporting manager right on the roster, and it applies immediately. Switch hubs to see the staff in each one. Anyone without a reporting manager is marked unassigned, because approvals need a manager to go to.
One person has no reporting manager. Approval tiers that route to a line manager cannot resolve for them.
Payroll, leave and approvals all work from this record.
Set up a new joiner completely, then invite them.
Seven tabs take you from identity to salary. The invite is the last step, so they log in to a record that is already complete.
- Capture identity, role, personal details and dependants
- Store documents and work authorisation on the record
- Enter the annual salary and the pay structure is built for you
- Attach a leave policy and a KPI template
- Send the invite last, once the record is complete
Import a whole team from a CSV.
Role and department names must match the ones you already have, so a typo is caught at import rather than discovered later.
- Download a template pre-filled with your own role and department names
- Fill in six columns, from name and email to role and department
- The import matches roles and departments against the ones you have
- Assign reporting managers after the import
Give every person a department and a manager.
Each department belongs to an HQ, and that HQ decides which roles it can use.
- Create departments and place each one under an HQ
- Assign a department head, or leave it unassigned
- Set a reporting manager for every member of staff
- Route approvals to a line manager, a skip-level manager or a department head
- Archive a department you no longer use, and keep its history
Access
Who can do what.
Most staff need the directory: who works here, who reports to whom and how to reach them. Passport numbers, visa details and bank accounts need a separate permission. They are encrypted, and are decrypted only when somebody with that permission opens them.
View the directory, the org chart and department heads.
Update your own record, request a change to it.
Onboard, offboard, move people between managers.
View sensitive document numbers and bank details.
Admin is the highest role and is not constrained by the permission grid, so it is worth keeping to the smallest group that genuinely needs it.
One joiner, start to finish
One wizard, and the invite goes last.
Every step fills in the same record. Payroll uses the salary on it, leave uses the policy attached to it, and approvals follow the reporting manager. The invite is sent last, once the record is complete.
Created the employee record. The login comes later, on the last tab.
