Contact preferences

Record how a person wants to be contacted, and how they do not.

One contact holds a mobile, a work number, a WhatsApp number and a second email address, so nobody guesses which one to use. Set the channel they prefer, the language they read and the time zone they work in. If someone asks not to be called, emailed, messaged or texted, that is saved on the contact where the whole team can see it.

Billing details

Keep a separate address for the invoices.

A contact can hold its own invoice email address and a list of people to copy, so a bill goes to accounts rather than to whoever was last in the thread. Their postal address can be inherited from the organisation instead of typed again, which means changing the company address changes it for everyone who shares it.

Identity documents

Hold passport and ID numbers without leaving them on show.

Add the documents a person's country actually issues, such as a passport, an Emirates ID or a PAN card, and the number is checked against the format for that type before it saves. Numbers are encrypted when stored and shown with only the last few digits afterwards, so anyone opening the contact sees enough to recognise it and nothing more.
