Describe an automation in a sentence, or build it step by step.

Tell NearSync AI what you want in plain English and it builds the workflow. Or start from one of twenty templates, or lay out the steps yourself. A workflow can start in any department and act in any other.

One database, so one workflow reaches all of it.
One workflowStarts in People, finishes in three other departments

A leave request over five days asks a skip-level manager, writes the answer to attendance, tells the requester on WhatsApp and posts the month to a board. One workflow, four departments.

The first screen

Start by saying what you want to automate.

The top of the screen shows how many workflows you have, how many are live and how many are failing, so you see their health the moment you open the page. Below that, describe what you want in a sentence, or start from one of twenty templates.

Hi Aisha. What should we automate today?

You have 55 workflows running right now. Build another or let NearSync AI handle it.

NearSync AI WorkflowsBetaDescribe it in plain English. NearSync AI builds it.

"When an invoice is overdue, email the client and ping the deal owner." NearSync AI turns sentences like that into a live workflow in seconds.

The canvas

One workflow can act in four departments at once.

When a deal is marked won, one workflow can draft the invoice in Finance, open the kickoff task in Projects, start onboarding in People and email the client, all at the same time, then come back together when every branch finishes. Every step type is in the palette along the bottom. A workflow stays a draft until you deploy it, and a counter shows how many steps still need setting up.

A workflow can start from nineteen kinds of work across your business.

Triggers

Five ways to start a workflow.

Nineteen kinds of work across eleven departments can set one off, because your whole business runs in NearSync.

  • Start when something is created or changed, like a deal, an invoice or a leave request
  • Run on a schedule you set
  • Start from another system, over a webhook
  • Start from a WhatsApp command
  • Watch deals, invoices, leave, attendance, tickets, sprints or campaigns

Getting started

Describe it in a sentence and the AI builds it.

Or start from one of twenty templates, five at each of four difficulty levels.

  • Write one sentence and NearSync AI builds the workflow for you
  • Open any template straight in the builder
  • Starter templates keep it simple: one trigger, one action
  • Work up through Intermediate, Advanced and Expert
  • Every template shows which department it belongs to and how many steps it has

Steps

Nine kinds of step.

Approvals and AI are steps inside the flow, so nothing has to happen outside it.

  • Branch on a condition, or switch between several paths
  • Repeat a step for every item in a list, and reshape data between steps
  • Wait for a delay, or wait until a date
  • Ask a person to approve, routed by reporting chain, role or policy
  • Ask the AI to analyse or summarise, and use its answer in later steps

Actions and health

Thirteen actions, and every run logged.

A workflow that keeps failing is paused automatically instead of being left to fail again and again.

  • Send WhatsApp, email, marketing email or an in-app notification
  • Create or update anything in NearSync, from a custom field to a task or an invoice
  • Call a webhook to reach another system
  • Dry run a workflow before you switch it on
  • See every run, the step that failed, and the data it was working with

Step data

Use an answer from an earlier step later in the workflow.

Any step can pick up what set the workflow off, something an earlier step worked out, or the answer the AI gave halfway through. The picker only offers what has genuinely run before this point, so a step never asks for something that does not exist yet.

Before you test

Testing a workflow checks your approvers first.

Press Test and NearSync looks for the gaps that normally only appear in real life: an approval sent to somebody with no manager, a role nobody holds, an approval level with nobody in it. Anything that would break the run stops the test and says where to fix it.

Checked before the test runs
No managerThe approval has nowhere to go
A role nobody holdsNobody would be asked
An empty approval levelThe policy cannot be met
Errors stop the test, warnings let you carry on
From WhatsApp

Turn a WhatsApp message into a command your team can send.

Five short steps and no canvas. Pick the word that starts it, say what should be read out of the message, choose what gets created or updated, and write the reply. Anything to do with money, and anything that deletes, asks for a PIN and is kept to managers.

Access

Who can do what.

Every workflow belongs to a department, and building workflows for your department is a permission on your role. Building across all departments, or calling out to another system, needs a higher one.

See

See workflows, their runs and what failed.

Do

Dry run any workflow you have access to.

Manage

Build and switch on workflows for your department.

Admin

Build across every department and call other systems by webhook.

Admin is the highest role and is not constrained by the permission grid, so it is worth keeping to the smallest group that genuinely needs it.

One run, start to finish

One leave request, four departments.

A leave request came in. The workflow checked how long it was, sent it up for approval, updated attendance so payroll had it, and answered the requester on WhatsApp. Every step ran in one flow, and the whole run is logged.

The workflow watches leave requests, so it started on its own.
