Apps and Import How to connect the tools you already run, import spreadsheets into any area, and export your data out.

Operations, Data, Apps and Import. The single place data comes in and goes out. You need the internal operations capability.

Connecting Another Tool

Sixteen connectors are built in, covering the tools most workspaces are migrating from or running alongside:

  • CRM - HubSpot, Salesforce, Zoho, Pipedrive, Freshsales
  • Work management - Monday, Notion, Jira, Linear, Asana, Trello
  • Finance and commerce - Stripe, Shopify, QuickBooks
  • Documents and people - PandaDoc, Zoho People

Each opens its own connect flow. Some authorise by signing in to the other tool; some ask for an API key from that tool's settings.

  1. Find the tool in the connector list.
  2. Start the connection. You are either sent to that tool to authorise, or asked for a key.
  3. Choose what to bring across, where the connector supports selection.
  4. Run the import, then check the results in Data Management.

Caution

Import once, deliberately. Running the same import twice is the most common way to create duplicates, and de-duplicating after the fact is far more work than checking before you start. If an import partly failed, fix the cause and import only the part that failed.

Importing A Spreadsheet

CSV and Excel import is available for Sales, People, Finance, Projects, Marketing, Support and Web.

  1. Pick the area you are importing into.
  2. Download the template for the record type. It carries the exact columns expected.
  3. Fill it from your data. Keep the header row.
  4. Upload.
  5. Map your columns to platform fields. Custom fields you have already created appear here as targets.
  6. Review what will be created before confirming.

Tip

Create your custom fields before importing, not after. A column you cannot map is a column you have to import a second time. See Custom Fields.

Two rules that save the most rework:

  • Import the parents first. Companies before contacts, contacts before deals. A deal whose company does not exist yet cannot be linked, and you get an orphan.
  • Clean the emails first. Email is the field most used to match records. Broken or duplicated emails turn one person into three.

Exporting

The export centre takes data out. Use it before any large change, so you have a copy of the previous state, and for handing data to an accountant or auditor.

Your Own Mailbox

This surface connects tools at the workspace level. Your personal Google or Microsoft account is connected from your own account settings, under Connections - so you do not need Operations access for it. See Your Account in the Settings section.

After Any Import

Always go to Data Management next. Imported data is never clean, and the queues there are built to find exactly what import breaks: records with no owner, contacts with no company, duplicates.

Common Questions

My import failed halfway. Fix the rows it rejected and import only those. Re-running the whole file duplicates everything that already succeeded.

Can I undo an import? Not as a single action. This is why the export before a large change matters, and why reviewing before confirming matters more.

A column will not map. There is no matching field. Create it as a custom field first, then import again.

Does connecting a tool keep it in sync? It depends on the connector. Some sync continuously, others import once. Check the connector's own flow - do not assume changes made in the other tool will appear here.
