There is no single page called Settings. What people mean by "settings" is two different places, with two different audiences, and knowing which one you want saves more time than anything else in this section.
The Two Places
Your account is at /profile, reached from your avatar in the top right, then Settings. Everything here affects only you: your name and photo, your timezone, your theme, your notification sounds, your connected mailbox. Every person in the workspace has it. Nothing you change here affects anyone else.
System and Admin is at /system, reached from the sidebar. Everything here affects the whole workspace: hubs, roles, permissions, notification policy, security. Most of it needs an owner or admin role.
If you are looking for dark mode, your photo, or how you get notified, you want Your Account. If you are looking for who can approve an expense, or what appears on an invoice, you want System and Admin.
Tip
A quick test: if the change should apply to your colleague as well, it is System and Admin. If it is a preference, it is your account.
What Sits Where
System and Admin is organised into eight areas. Open any one from the sidebar; there is no separate menu inside.

Two surfaces only appear in some workspaces. Self-hosted shows only if your deployment is self-hosted. API Keys shows only if the API access feature is switched on for your plan.
Who Can See What
Access is checked per surface, not per area, so two admins can see different things. Three gates apply:
- Role weight. Most of System and Admin requires weight 90 - the owner or admin band. A handful (Hub Access, Approval Policies, Org Health, WhatsApp) open at weight 60, the manager band.
- Permission. Some surfaces additionally require a specific capability, such as viewing settings or viewing the audit log.
- Billing access. The Subscription surface is limited to the owner and anyone with billing access, regardless of weight.
If you open a link to a surface you cannot reach, you are not shown an error. You land on the first surface you can reach. This is deliberate, so a shared link never dead-ends, but it does mean "that link took me somewhere else" usually means "you do not have access to it".
Keep in mind
If you can see nothing at all in System and Admin, you get a short message saying so. Ask whoever holds the owner role to raise your role weight, or to grant the specific capability. See Roles.
Where To Start On A New Workspace
In this order, because each step depends on the one before it.
- Set your brand. Logo, colours and legal name, so invoices and emails go out looking right from the first one. See Branding.
- Create your hubs. Each legal entity you invoice from, with its tax registration and bank account. Everything financial hangs off this. See Hubs.
- Invite your key people. The person who runs each area, in People, with a role that fits. See Roles.
- Set your policies. Notification routing, then approval thresholds. See Notifications and Approval Policies.
- Connect your stack. Mailbox, calendar and channels, from Operations, then ask each person to connect their own account. See Your Account.
- Bring in the rest of the team.
Settings That Live Elsewhere
Three things people reliably look for in System and Admin and do not find, because they belong to the department that owns them:
- Custom fields are in Operations. Any link to the old settings location redirects there.
- Integrations and imports are in Operations, under Apps and Import. Your own mailbox connection is in your account, under Connections, so you never need Operations access to connect it.
- Pipelines, stages and deal rules are in Sales, under Pipeline Settings.
Common Questions
I changed something and nothing happened. Most surfaces save per section, not per page, and each has its own Save button that stays greyed out until something actually differs. If it is still grey, your edit matched the saved value.
Someone changed a setting and I want to know who. The Audit Log records field-level changes with the person, the timestamp, and the before and after values. See Security and the Audit Log.
Why can I not edit our security policy? Workspace security is set by NearSync for every workspace, and shown to you read-only. You can raise the MFA requirement above the baseline, never below it. See Security and the Audit Log.
