An unlinked conversation is a phone number saying words. A linked one is a customer with a history.
What linking gives you
Once a conversation is attached to a contact, the panel beside it fills in: their company, their deals, their open tickets, what they have bought, and what you last discussed.
Everything useful about the WhatsApp inbox follows from this. Without it you are answering a stranger.
Doing it
From the conversation, search for the contact by name, company or number and attach them. If they do not exist yet, create them from the same place rather than switching to the CRM and coming back.
Make it the first thing you do with an unfamiliar number, before replying. Answering first and linking later usually means never linking.
When the number is not the person
Numbers move. Somebody leaves a company and their number goes with them, or a shared operations line is used by four people.
Where a number is genuinely shared, link it to the company rather than a person. Where somebody has left, relink rather than editing the old contact, or you will have a departed employee's record showing conversations they never had.
What else you can do from a thread
Assign an owner, so it is somebody's job. Link it to a ticket where it turns out to be a support case, so it enters the queue with a deadline instead of staying an informal chat.
The habit worth having
Link, then classify, then assign. Thirty seconds at the start of a conversation, and the record is right for as long as the customer exists.
