Getting Your Data Out How to export, what an export contains, and how to handle it once it leaves the platform.

Your data is yours, and it can leave in a standard format at any time. Nothing here is locked in - a platform that made leaving hard would be relying on the wrong thing.

Exporting

Operations, Data, Apps and Import holds the export centre. Choose the record type and run it.

Export by record type rather than expecting one file. Relationships between records do not survive a single flat sheet, so contacts, companies, deals and invoices come out as their own exports that reference each other by id.

When To Export

  • Before any large change - an import, a bulk edit, a migration. This is your undo, and import has no single-action undo.
  • For an accountant or auditor, who wants a file rather than a login.
  • Before cancelling, while access is normal rather than under time pressure.
  • On a schedule, if your policy requires it.

What An Export Contains

Everything you can see, including custom fields — they are ordinary fields.

What it does not contain is the platform's access controls. That is the important part.

Handle It Carefully

An export is your data with every protection removed. Roles, hub scope, field-level permissions, encryption at rest and the audit trail all stop at the file.

  • Store it somewhere access-controlled, not a laptop desktop or a personal drive.
  • Delete it when done. An export from March in a downloads folder is standing risk with no remaining purpose.
  • Think before emailing one. Attaching a contact export sends your customer list through systems you do not control.
  • Remember it is a photograph. Anyone working from last month's file is working from last month.

Caution

Exports of employee or customer records carry data-protection obligations wherever you operate. The audit log records what happens inside the platform; it cannot record what happens to a file after it leaves. Treat every export as a document with a retention decision attached.

Scheduled Exports

Report exports can be scheduled to run on a recurring basis, which suits a regular finance or board pack. A full data export is run when you need it.

Common Questions

Can we get everything in one go? By record type. A single combined file would lose the relationships and be unusable.

Does exporting change anything? No. It reads.

Can we export on self-hosted? Yes, and you also have direct database access, since it is your database.

What format? Standard spreadsheet formats that open anywhere and import into other systems.
