Presence and Status What the dot next to somebody means, including the ones you cannot set yourself.

The dot beside a name is more precise than most chat tools, because some of it is worked out rather than declared.

The seven

Status What it means
Online The app is open and they have touched keyboard or mouse in the last five minutes
Away The app is open but idle, or the tab is in the background
In a meeting They are on a call, or a calendar meeting is running now
Presenting They are on a call and sharing their screen
Do not disturb They have asked not to be interrupted
On leave They are on approved leave today
Offline No signal, or they have set it deliberately

Which ones you set, and which set themselves

You can set online, in a meeting, do not disturb, and offline. Leave it alone and the system works it out from what you are doing.

In a meeting and presenting derive themselves from an actual call or a live calendar meeting. Presenting only ever comes from screen sharing, never from a manual pick, which is why it is trustworthy: nobody can claim to be presenting.

On leave comes from HR, not from you. If you have approved leave covering today, you show as on leave without setting anything. Nobody has to remember, and nobody can quietly turn it off to look available.

The one exception worth knowing

A call beats leave. Join a call while on leave and you show as in a meeting.

That is deliberate. Being on a call is the ground truth about right now, and showing "on leave" beside somebody who is visibly speaking would be worse than useless.

Do not disturb, precisely

Do not disturb does not hide you. Colleagues still see you and can still message you. What it does is stop notification toasts from interrupting.

It is a signal about interruption, not invisibility. Somebody urgent can still reach you, and that is the intent.

Away is quieter than it looks

Away is suppressed when a stronger signal applies. Somebody in a meeting is shown as in a meeting, not as away, even though they have not touched the keyboard for twenty minutes.

Last seen

An offline person shows when they were last around, so you can judge whether to wait or write it down.
