Where your data physically sits depends on your deployment, and it is a question worth being able to answer precisely rather than approximately.
Managed
Your workspace runs on our infrastructure, in the region we operate it in. Your instance details show the region.
Settings, Configuration, General shows the deployment and region for your workspace, read-only. That is the authoritative answer for your organisation, and the one to quote.
Self-Hosted
Your database is yours, in the region you chose when you created it. Your data does not sit on our infrastructure at all.
This is the reason most organisations that choose self-hosted do so - a residency requirement they cannot satisfy any other way. See Managed or Self-Hosted.
What Leaves, Either Way
Even on self-hosted, some things cross a boundary by design, and being straight about them matters more than a general assurance:
- Email you send goes through your mail provider.
- Messages go through the messaging provider.
- Calls go through your voice provider.
- AI features send the relevant content to the AI provider handling the request.
- Channel metrics come from the advertising platforms.
Each is an integration you connected deliberately, and each carries its own terms and its own residency. A NearSync residency answer does not cover them, and a careful customer will ask about them separately.
Answering The Question Well
When a customer or regulator asks where their data is held:
- State your deployment, managed or self-hosted.
- State the region, from your instance details.
- List the integrations you have connected, because those are separate answers.
- Point at the processing terms for each of those providers.
Answering only the first two is the incomplete answer that causes a follow-up.
Backups
On managed, backups run on our infrastructure in the same region. On self-hosted, backups are yours to configure — and worth confirming that someone actually has.
Common Questions
Can we choose a region on managed? The region is shown in your instance details. A specific requirement is a conversation before signup.
Does AI mean our data trains a model? Ask us for the current position on the providers in use. It depends on the provider and the arrangement, and a help page is the wrong place for an answer that can change.
Where are documents and files stored? With the deployment — our infrastructure on managed, yours on self-hosted.
Can we get this in writing? Yes. Ask, and we will give you the specifics for your workspace rather than a generic statement.
