The 24 Hour Window The rule that decides whether you can write freely or must use a template.

This is the one WhatsApp rule worth understanding properly, because it explains almost every "why can I not just send this" moment.

The rule

When a customer messages you, a 24 hour window opens. Inside it you can reply freely, in your own words, as many times as you like.

The clock runs from their last message, not yours. Every time they reply it resets. A conversation that keeps going never closes the window.

Once it lapses, free text stops. You can still reach them, but only with a message template that Meta has approved in advance.

This is WhatsApp's rule, not ours. It exists so businesses cannot use the channel to message people who are not talking to them.

What you see

The composer tells you which state you are in. Inside the window you type normally. Outside it, the composer offers your approved templates instead and explains why.

That is not a bug to work around. It is the platform preventing a message that would be rejected.

Templates

A template is a pre-written message approved by Meta, with placeholders for the specific details. "Your order {{order}} is ready for collection" is a template; the order number is filled in when you send.

Approval takes time, measured in hours to days. Write the templates you will need before you need them, because the moment you discover a gap is invariably the moment the window has just closed on a customer waiting for an answer.

Templates also fill themselves in from the record where the fields match, so sending one against a deal does not mean retyping what NearSync already knows.

Practical consequence

If a conversation matters and the window is closing, say so while you still can. A short "we are looking into this and will come back to you tomorrow" inside the window keeps the door open in a way that silence does not.
