HR work that is not a form is a task — chasing a document, arranging a session, following up a probation date.
A Task
Each carries a title, description, type, status, priority, an assignee, a reporter, a due date, an optional employee it concerns, a checklist, and collaborators.
The link to an employee is what makes it HR work rather than generic work. A task about someone's visa renewal belongs to their record, not to a to-do list nobody connects to them.
Views
The same tasks in four shapes:
- Board — by status, for working through the week
- List — for scanning and filtering
- Calendar — by due date, for what is coming
- Templates — the reusable definitions
Use the calendar for anything time-critical. HR work is disproportionately deadline-driven — visa expiries, probation ends, notice periods — and a board hides dates.
Templates
A template carries a name, a task type, a default checklist and a default priority.
Templates are how a process becomes repeatable. An onboarding template, an exit template, a visa renewal template — each carrying the checklist that someone worked out once, so the tenth time does not depend on remembering the ninth.
Tip
Write the template the first time you do the thing, not the third. The detail you would put in a template is freshest immediately after you have discovered it the hard way.
Checklists
Both tasks and templates carry a checklist, so a single task can hold its own steps without needing sub-tasks.
Priority And Due Dates
Set both. HR tasks compete with everything else the same people are doing, and an undated task loses to a dated one every time.
Common Questions
How is this different from onboarding checklists? Onboarding checklists are attached to an employee's onboarding specifically. Tasks are general HR work — overlapping, but the onboarding list is scoped to a person joining.
Can several people work one task? Yes, through collaborators. The assignee remains the person accountable.
Does a task notify the assignee? Through the normal notification routing. See Notifications in the Settings section.
Can tasks be created automatically? An automation can create them. A workflow that opens a visa renewal task ninety days before expiry is the kind of thing worth building once. See Building Your First Automation in the Operations section.
