Books that keep themselves balanced.
Journals, trial balance, reconciliation and period close, all in one place. The rules that keep your books balanced are built into NearSync itself, not just the entry form, so a bulk import or a connected app has to follow them too.
A journal is the single event. The trial balance, the statements and the reconciliation are four ways of reading the same posted lines.
The four screens
Four screens, one set of entries.
A journal records what happened. The trial balance checks the totals still balance, the reconciliation checks each journal matches the invoice or expense behind it, and the close locks the month once both agree. Pick a screen to see what it shows.
The ledger behind every report.
Invoices, payments and payroll post entries here automatically. Manual Entry is for adjustments like accruals and corrections. Drafts do not touch your books until posted. Posting is final; voiding a posted entry creates a reversal.
| Description | Source | Status | Debits | Credits |

| Expense approved, site visit | Expenses | posted | 2,340.00 | 2,340.00 |
| July rent accrual | Manual entry | draft | 18,000.00 | 18,000.00 |
| Depreciation, office fit-out | Manual entry | draft | 4,166.67 | 4,166.67 |
| Duplicate accrual, reversed | Manual entry | voided | 3,100.00 | 3,100.00 |

Raised by the posting trigger, not by the form. The same trigger rejects an entry with fewer than two lines, and any posting into a closed fiscal year.
An import cannot break the books.
The three rules
Three rules every entry must pass.
These checks are not just in the entry form. They are built into NearSync itself, so a bulk import, a connected app or a scheduled job has to pass them too. Nobody can override them.
Journal entry must have at least 2 linesA one-sided entry is rejected on the spot. It never enters the books, so there is nothing to find and fix later.
Cannot post unbalanced entry: debits (%) != credits (%)An unbalanced entry is rejected, and the message shows both totals, so whoever fixes it can see the size of the gap straight away.
Cannot post to a closed fiscal yearOnce a month is closed, nothing more can post into it. A correction goes into the next open month, where anyone reviewing the accounts can see it.
Most journals write themselves.
Sending an invoice, recording a payment or approving an expense posts its own entry.
- Post journals automatically from invoices, payments, expenses and payroll
- Map each kind of event to an account once, instead of choosing every time
- Add manual entries for accruals, depreciation and corrections
- Keep a draft out of the books until somebody posts it
- Void a posted entry and get a reversal, so history is never deleted
Check the ledger against your invoices and expenses.
Reconciliation finds invoices and expenses that never posted a journal, and journals with nothing behind them.
- Check what the ledger says you are owed against every open invoice
- Check what the ledger says you owe against every unpaid expense
- See exactly which invoices or expenses make up a gap, with amounts
- Run it before you close the month, not a quarter later
- Trust a clean result: every journal matches a real invoice or expense
Access
Who can do what.
Whoever keeps the books can view and post. Closing a period stops everyone else posting into it, and reopening one changes a month you have already reported, so both belong to the smallest group.
View the journals, the trial balance and the reconciliation.
Create manual entries and post them.
Void a posted entry, which creates a reversal.
Close a period, or reopen one.
Admin is the highest role and is not constrained by the permission grid, so it is worth keeping to the smallest group that genuinely needs it.
One month, start to finish
A full month, closed without a scramble.
Nobody typed journals from invoices, because every invoice posted its own. The one gap that appeared was found, with its amount, before the close instead of a quarter later.
Every invoice sent, payment received and expense approved posted its own journal.
What this is not
No bank feeds.
Reconciliation here checks your ledger against the invoices and expenses inside NearSync. It does not connect to your bank or match bank statement lines. That is a different job, and we do not claim it.
