Every tool the company pays for.

Track every subscription in one place: what it costs, when it renews and whether it renews by itself. Each charge posts to the right expense account for its category, so recurring spend shows up in your books without any extra work.

Software renewals are the spend that arrives without a decision. Here each one carries its vendor, its next date and whether it renews on its own.

Recurring cost

See every recurring charge in one place.

Every subscription shows its vendor, its monthly cost, its next renewal date and whether it renews automatically. Filter by status to see which ones have already lapsed.

Auto-renew charges whether or not anybody decided. Manual renewal lapses if nobody does. Both post to the expense account their category maps to.

Auto-renew is flagged on every card.

What this covers

This tracks the company's own spending.

This screen tracks what the company pays for: software, services and anything else that charges on a cycle. Billing your own clients on a recurring plan is a separate job, and it is handled in the part of NearSync where those plans are sold.

Renewals

See a renewal before it charges.

The screen counts everything expiring in the next thirty days, so nothing renews or lapses as a surprise.

  • See the next renewal date on every subscription
  • See how many subscriptions expire in the next thirty days
  • See which tools renew by themselves and which need someone to decide
  • Cancel a subscription and keep its full history
  • See when a lapsed subscription stopped

What it adds up to

See your monthly and annual totals at a glance.

The totals come straight from the subscriptions themselves, so there is no spreadsheet to keep up to date.

  • See total monthly recurring cost in your base currency
  • Project the annual figure at today's rates
  • Keep each subscription in the currency its vendor bills in
  • Post each charge to the right expense account automatically, based on its category
  • Compare recurring spend against a budget on the same accounts

Comparing cycles

A yearly tool and a monthly one are read on the same line.

Anything billed quarterly counts as a third of the charge each month, and anything billed yearly as a twelfth, so the monthly figure is what the company genuinely spends each month. The annual projection is that same figure across twelve months.

QuarterlyA third a month
YearlyA twelfth a month

What lapses

The thirty-day count is the ones that will lapse.

A subscription is counted there when it is still running, does not renew by itself, and ends inside the next thirty days. Anything on auto-renew is left out of that number, because it will not lapse on you: it will charge you.

Stopping one

Cancelling stops the cost; deleting removes the record.

Cancel a subscription and it stops counting toward your monthly total, with auto-renew switched off in the same step, while the record stays where you can read it. Only a cancelled subscription can be removed for good, and it asks you to confirm.

Access

Who can do what.

A team lead can see the tools their team depends on. Adding a new recurring charge is a spend decision, and cancelling one can break somebody's work, so both are held more tightly.

See

View what the company pays for, and when.

Do

Add a subscription, and set its renewal.

Manage

Cancel a subscription, and see spend across every market you operate in.

Admin

Set the category that decides which expense account it posts to.

Admin is the highest role and is not constrained by the permission grid, so it is worth keeping to the smallest group that genuinely needs it.
