Meeting minutes, explained
What should minutes of a meeting record?
The date, time and place, who chaired and who took the minutes, who attended and who sent apologies, the main points discussed under each agenda item, the decisions made, and the action items with an owner and a due date for each. Keep them short and factual: minutes record what was decided, not a word for word account of who said what.
Who signs the minutes?
Usually the chair signs once the attendees have agreed the minutes are a fair record, often at the start of the next meeting. The minute-taker may sign as well. There is no single legal format for an ordinary business meeting, but board and shareholder meetings of a company can have their own rules in its articles of association, so check those for formal meetings.
Should I share the minutes as text or as a PDF?
Send a PDF when you want a signed record that looks the same on every screen, such as for a board file. Send the text when the point is the action list: it pastes straight into an email or a chat message and people can reply under each line. This minutes of meeting template gives you both, from the same details.
How long should the minutes take to send?
Aim for the same day or the next working day, while the discussion is fresh and before the action items are forgotten. Action items with a named owner and a date are the part people look for first, so put them where they are easy to find.
Is anything I type sent anywhere or saved?
No. The minutes are built in your browser on this page and nothing you type leaves your device. If you tick the box, only your company name, address, phone, email and logo are kept on this device. The meeting itself, including names, notes, decisions and actions, is never saved.
